Background

The Oregon Department of Veterans’ Affairs (ODVA) is seeking quotes for the purchase and installation of a sound masking system on the 2nd floor of their Salem Office Building. The goal is to enhance acoustical treatment in various spaces, ensuring confidentiality in conversations within offices and conference rooms. This project follows a recent remodel of the 2nd floor, which was completed to improve the working environment.

Work Details

The contractor will provide the following services for the installation of sound masking systems: - Install a main controller in a designated electrical or mechanical room (120VAC 20A outlet required). - The system will be divided into five zones: Open Office, Private Offices and Conference Rooms, Vestibules/Corridors, IT and RIMS (Records), and HR. - Install emitters centered in existing ceiling tiles that are white to blend visually with the ceiling. - Run home run cabling using new data pathways secured away from ceiling tiles. - Provide individual room controllers:

volume control but cannot completely disable sound masking.

Conference Rooms

can modify volume and temporarily disable sound masking.

Open Office Areas

no adjustability by general staff; controlled only by Facilities Staff. - Options for control via computer or mobile app must be specified, including whether it connects to ODVA's network (IT approval required). - Conduct a site survey before work begins and hold a project kick-off meeting with ODVA Facilities Team. Weekly project status updates must be sent to the Agency Contact. - Provide training on equipment operation, including start-up, shutdown, and manual operations. - Deliver as-built drawings upon project completion and ensure all punch list items are addressed prior to final payment.

Period of Performance

The work is expected to begin as soon as the contract is executed, with workstations scheduled for installation towards the end of June 2026. Ancillary furniture is likely to be installed by mid to late July 2026.
