Annual Contract for Sale of Surplus Transformers

Background

The City of Ames is soliciting bids from qualified vendors for an annual contract for the sale of surplus transformers from the Electric Department. The purpose of this contract is to manage the disposal of surplus transformers that are no longer needed by the Electric Utility, ensuring compliance with environmental regulations regarding PCB levels in the transformers.

Work Details

The successful vendor will be responsible for purchasing surplus transformers, which include overhead and padmount transformers up to and including 2500 kVA. The contract term is from July 1, 2026, through June 30, 2027, with an option to extend for up to four additional twelve-month periods. All transformers must have PCB levels of 50 ppm or less. The vendor must coordinate with the Electric Distribution Manager for the removal of units and remit payment within thirty calendar days following pickup. Bidders must provide information regarding their processing methods and facilities and may need to demonstrate compliance with the City’s standards for responsible salvage disposal. The bid pricing must remain firm throughout the contract term.

Period of Performance

The contract will be performed from July 1, 2026, through June 30, 2027.

Place of Performance

The performance will take place at the City of Ames Electric Distribution facility located at 2208 Edison Street, Ames, IA.

Bidder Requirements

Bidders must provide a qualification statement indicating their ability to handle and dispose of materials in accordance with EPA standards. They are required to include their EPA Facility Number in their bid submission. Additionally, bidders must comply with insurance requirements as specified in the solicitation documents.
