Off-Site Records Storage and Handling Services

Background

The Bernalillo County Purchasing Section of the Procurement and Business Services Department is seeking proposals for Off-Site Records Storage and Handling Services. The goal is to establish a Price Agreement with a contractor to store and manage County records, ensuring their safety and accessibility.

Work Details

The contractor will provide off-site records storage facilities capable of storing various types of records including Microfilm, Microfiche, Magnetic Tapes, Paper Records, and Bound Documents in a secure environment. Specific requirements include: - A minimum of 3,000 cubic feet for physical records storage with potential expansion to 8,000 cubic feet. - A secure climate-controlled vault for 358 microfiche boxes with room for growth up to 1,000 boxes. - Facilities must meet local construction standards and be equipped with adequate security measures including 24/7 monitoring. - Disaster protection systems must be in place. - Procedures for tracking inventory movement in/out of storage must be specified, along with protocols for on-demand delivery and retrieval of stored items. - The contractor must ensure confidentiality and ownership of County records at all times.

Period of Performance

The anticipated contract term is three (3) years with an option to renew for an additional three (3) years, totaling a maximum of six (6) years.

Place of Performance

The storage facilities must be located in or near downtown Albuquerque to facilitate easy access for County personnel.

Bidder Requirements

Offerors must demonstrate qualifications through company history, employee training policies, transportation security measures, and confidentiality controls. They are also required to submit various forms including a Pay Equity Reporting Form and an Unfair Business Practices Disclosure Form.
