HVAC Maintenance and Repairs for Region 1

Background

The Virginia Department of Wildlife Resources (DWR) is issuing this Quick Quote (QQ-118121) to solicit bids for HVAC maintenance and repairs specifically for their Region 1 office located in Charles City, Virginia. Work Details

The contractor will provide all labor and materials necessary for quarterly preventative maintenance (PM) of HVAC units at DWR's Region 1 office. The specific tasks include: - Scheduling each service visit - Checking in with the owner for concerns - Changing filters on air handlers at each visit - Checking operation of units in heating and cooling modes - Inspecting all electrical connections and safety interlocks - Cleaning condenser coils and indoor coils annually - Checking and cleaning drain pans and piping at each visit - Oiling or greasing motors as required - Verifying thermostat operations - Logging into the computerized system to check settings and operations - Ensuring proper communication between thermostats and dampers - Recording operating conditions - Quoting any necessary repairs - Cleaning the work area after each service. The units to be serviced include 4 Carrier Units and 1 Mini Split located at 3801 John Tyler Memorial Hwy, Charles City, VA 23030.

Period of Performance

The contract will be performed over a one-year period following the award date with four optional one-year renewal periods available.

All services will be performed at the Virginia Department of Wildlife Resources' Region 1 office located at 3801 John Tyler Memorial Hwy, Charles City, VA 23030.

Bidder Requirements

Bidders must possess a valid Virginia Contractor License and be DSBSD-certified as a small business. A mandatory prebid conference is scheduled for May 5, 2026. Bidders must also comply with various insurance requirements including Workers’ Compensation coverage and Commercial General Liability insurance.
