Records Destruction by Confidential Shredding

Background

The Archives Division of the Department of Accounting and General Services is seeking shredding services to manage the destruction of confidential non-permanent records stored at the State Records Center (SRC) located at 729B Kakoi Street, Honolulu, Hawaii 96819. The goal of this contract is to ensure secure destruction of these records while adhering to standards set by the National Association for Information Destruction (NAID). The contract is intended for a period of 12 months from June 15, 2026, to June 14, 2027, with a potential extension for one additional year based on need and availability of funds.

Work Details

The contractor will provide shredding services for up to 8,000 cubic foot boxes of confidential records. Each box measures 10” x 12” x 15” and weighs approximately 42.5 pounds. The contractor must meet the following requirements: 1. Provide a certification of records destruction for each disposal lot. 2. Remove palletized boxes from SRC for off-site shredding, ensuring that company trucks are parked next to the SRC loading dock without impeding traffic. 3. Provide pallets and shrink wrap for loading records destined for destruction. 4. Complete destruction of each disposal increment within 72 hours from pick-up time from SRC. 5. Supply all physical labor and equipment necessary to remove palletized boxes and destroy the records. Each disposal increment will consist of at least 400 boxes, except for the last pick-up. The vendor will be responsible for loading pallets from the dock onto their trucks using their equipment.

Period of Performance

The contract will be performed over a period from June 15, 2026, to June 14, 2027, with an option for a one-year extension depending on need and funding availability.

The services will be performed at the State Records Center located at 729B Kakoi Street, Honolulu, Hawaii 96819.

Bidder Requirements

Bidders must be certified by the National Association for Information Destruction (NAID) to qualify for this contract.
