Background

The Jamestown-Yorktown Foundation (JYF), an educational institution of the Commonwealth of Virginia, administers two living-history museums: Jamestown Settlement and the American Revolution Museum at Yorktown. The purpose of this Invitation for Bids (IFB # 26-JYF-260) is to establish a contract with a responsive and responsible bidder to furnish replacement audio-visual equipment for various locations at these museums in preparation for scheduled equipment replacements in late June 2026 and in support of programming related to the 250th commemoration of the United States.

Work Details

The contractor will provide replacement audio-visual equipment as specified in Attachment A - AV Equipment List. This includes projectors, video players, monitors, and associated hardware. All costs associated with shipping, delivery, and handling must be included in the pricing. The contractor must quote exact specified items without substitutions and provide documentation such as manufacturer data sheets, operating instructions, warranty information, and schematic diagrams. The contractor is also responsible for coordinating deliveries with the Agency’s AV Department at least 48 hours in advance. A minimum three-year manufacturer's warranty on all equipment is required.

Period of Performance

The contract will be performed from May 29, 2026, until May 15, 2026, when all equipment must be delivered.

Place of Performance

The equipment will be delivered to the American Revolution Museum at Yorktown located at 200 Water Street, Yorktown, Virginia 23690.

Bidder Requirements

Bidders must be registered in eVA to submit their bids electronically. They are encouraged to include small businesses certified by the Virginia Department of Small Business and Supplier Diversity (DSBSD) in their subcontracting plans. Bidders must also comply with insurance requirements including workers' compensation and general liability coverage.
