Mailing & Collating for Aeronautical Charts

Background

The Ohio Department of Transportation (ODOT), specifically the Office of Aviation, is seeking a contractor to provide mailing and collating services for aeronautical charts. The contract aims to ensure efficient distribution of these materials as part of ODOT's mission to support aviation in Ohio.

Work Details

The contractor will be responsible for mailing and collating 815 aeronautical charts. The vendor has the option to print directly onto provided envelopes or use mailing labels. Envelopes must be sealed, and the vendor must be IMBP (Intelligent Mail Package Barcode) approved. An Excel file containing the mailing list will be provided to the vendor, who must imprint addresses on the envelopes or labels according to US Postal Service regulations, including CASS encoding and Zip + 4 Code sorting. The vendor is also required to process the mailing list through the NCOA database and provide updated files back to ODOT. All mailings must be conducted through the United States Post Office located at 2323 Citygate Drive, Columbus, OH 43218, with no out-of-state or out-of-country mailings allowed.

Period of Performance

The contract period is from June 3, 2026, to June 17, 2026.

Place of Performance

All work will be performed in Columbus, Ohio.

Bidder Requirements

Bidders must not subcontract presswork under this contract. They are required to comply with all current US Postal Service regulations and must be IMBP approved. Additionally, bidders should ensure that they are registered suppliers with the State of Ohio and comply with any necessary certifications.
