Background

The Town of East Montpelier, Vermont, is seeking proposals from qualified contractors for comprehensive lawn maintenance services for various municipal properties. The goal is to ensure a professional, safe, and well-kept appearance for all town-owned grounds, including maintenance for sport fields as specified by the Recreation Committee. The contract period is from May 18, 2026, to November 15, 2026, with potential annual renewals for up to three additional years based on satisfactory performance.

Work Details

The contractor will provide all labor, equipment, and materials necessary for the following services: - Weekly mowing and trimming of all turf areas. - String trimming around buildings, fences, posts, and trees at designated locations including the Town Office Building Lawn, Old Brick Church, Old LaPerle Farm house, Park ‘n Ride area, US Route 2 sidewalk zones, and Town Rec Field. - Periodic edging of walkways and paved areas. Annual grounds maintenance includes: - Spring clean-up and fall leaf removal. - Removal of grass clippings from sidewalks and parking lots. - Cleanup of seasonal debris (twigs/leaves) prior to mowing. - Litter removal as needed. Services are expected to commence between May 1, 2026, and November 2026. Additional tasks may include winter clean-up, pressure washing buildings, and mulching at town green and office locations by Memorial Day Weekend. Potential add-on projects may involve older cemetery grounds recovery/cleanup (to be determined), ongoing ash tree removal projects, or special town lawn projects.

The contract will be performed from May 18, 2026, to November 15, 2026. Services are typically scheduled between May 1 and November each year.

Place of Performance

The services will be performed at various municipal properties in East Montpelier, Vermont.

Bidder Requirements

Proposals must include a company profile detailing experience with municipal or commercial contracts; contact information for at least three professional references; proof of insurance including General Liability with a minimum coverage of $1 million per occurrence and $2 million aggregate; and Workers’ Compensation coverage as required by Vermont law. A cost proposal must be provided as a flat-rate fee per mowing/service visit or a seasonal total for a three-year contract with an itemized cost breakdown for each service.
