Work Details

The contractor will be responsible for providing and replacing HVAC filters according to the specifications outlined in Appendix A. All filters must meet or exceed a MERV rating of 8. Bidders are encouraged to propose eco-friendly and energy-efficient products. The contractor must provide unit pricing for each size and type of filter utilized in this contract, using an itemized bid form as shown in Appendix A. Services should be provided without disrupting facility operations, and all contractor employees must pass a Criminal Justice Information System (CJIS) background check if working in controlled facilities. The contractor is also required to maintain safety precautions during the performance of the contract.

Period of Performance

The proposed contract will have an initial term of two years, with three additional one-year renewal options. Each contract term will align with the City of Waco Fiscal Year, starting on October 1st, with the initial term effective from October 1, 2026.

Place of Performance

The services will be performed at various city facilities located within Waco, Texas, as specified in the building filter list provided in Appendix A.

Bidder Requirements

Bidders must provide documentation certifying that their filters meet or exceed MERV standards. If subcontractors are used, bidders must submit Minority, Women-Owned Business Enterprise (MWBE) status for each subcontractor. The successful bidder must also submit various documents before the official contract award, including insurance requirements and tax certifications.
