Background

The New York State Office of Victim Services (OVS) is seeking a facility to host its Statewide Victim Services Provider Conference. The conference aims to provide training and resources for victim service providers and will take place over three consecutive weekdays in August 2027. The agency's mission is to support victims of crime and enhance their access to services. The selected facility must be able to accommodate at least 400 attendees and provide necessary amenities.

Work Details

The facility must provide: - Meeting and breakout rooms suitable for training sessions for at least 400 attendees, including a main meeting room, five breakout rooms, a registration area, and hospitality rooms. - Lodging accommodations with at least 200 single/double occupancy rooms available each night before the conference days. - Restaurant and catering services for meals including breakfast, lunch, and breaks across three days. - Audio/visual services including microphones, projectors, and screens. - Accessibility features for guests with disabilities. - A block of rooms must be available until 21 days before the event with early check-in options.

Period of Performance

The contract will cover the period from August 3-5, August 10-12, August 17-19, or August 24-26 in 2027.

Place of Performance

The facility must be located in one of the following counties: Albany, Columbia, Dutchess, Greene, Orange, Putnam, Rensselaer, Rockland, Ulster, or Westchester; within 20 miles of a public transportation hub.

Bidder Requirements

Bidders must comply with specific requirements including proof of insurance (workers compensation and disability), completion of various certifications (non-collusive bidding certification, MWBE certification), and adherence to state finance laws. There are no set-aside goals for M/WBE or SDVOB participation.
