Propane Sales, Service, and Maintenance

Background

McKinley County is seeking bids from qualified vendors to provide propane sales, service, and maintenance for its facilities. The goal of this contract is to ensure a reliable supply of propane and associated services to support the operations of various county facilities.

Work Details

The contractor will be responsible for the following: 1. Providing propane sales and service to McKinley County facilities, ensuring that all propane delivered contains an odor-producing additive in compliance with federal, state, and local regulations as well as National Fire Protection Association (NFPA) standards. 2. Learning the usage patterns of each facility to schedule deliveries that maintain sufficient propane levels for uninterrupted operations. 3. Coordinating with the county and the incumbent vendor to remove and replace any rented propane tanks at no additional cost to McKinley County. 4. Crediting McKinley County for any remaining propane in tanks owned by the incumbent vendor. 5. Ensuring that all materials or services meet or exceed county specifications and that all required licenses or certifications are obtained.

Period of Performance

The contract will be effective from July 1, 2026, to June 30, 2027, with the possibility of automatic renewal for up to three additional one-year periods based on appropriations by the County Commission.

Place of Performance

Services will be performed at various McKinley County facilities located in Gallup, New Mexico.

Bidder Requirements

Bidders must possess any required licenses or certifications necessary for providing propane services and must pay all fees associated with licensing, certification, or permits. Additionally, bidders must comply with insurance requirements including commercial general liability insurance, automobile liability insurance, and workers' compensation coverage.
