ImageRight Document Management Systems

Background

The Texas Department of Insurance (TDI) is issuing this Request for Offers (RFO) to solicit pricing from qualified vendors for ImageRight Document Management software licenses. TDI regulates the state's insurance industry and oversees the administration of the Texas workers' compensation system. The goal of this contract is to obtain services that represent the best value for TDI and the State of Texas, ensuring effective document management and workflow processing across multiple business areas.

Work Details

The contract includes the provision of ImageRight software subscription, maintenance, support, and licensing. Specific requirements include: 1. **ImageRight Licenses**:

1 States Browser Server

- 150 Desktop & Browser Client File Access & Full Workflow Concurrent Users

1 Export Module Server

- 1 Retention Management module - 1 Content Imports module

1 Desktop API

- 1 Web Services Internet module

2 Redaction and OCR Services

2. **Software Maintenance and Support**: Annual maintenance including security patches, data backups, performance tuning, and ad hoc support. 3. **Optional Services**: Additional view-only concurrent licenses, training for staff on ImageRight functionalities, enhancements for integration with third-party applications, and ongoing technical support.

Period of Performance

The initial contract term is from September 1, 2026, to August 31, 2028, with options for three one-year renewals or one three-year renewal period.

Place of Performance

Services will be performed at TDI's headquarters in Austin, Texas. The software will be hosted on Respondent’s cloud infrastructure as per TDI's requirements.

Bidder Requirements

Respondents must have a minimum of 10 years’ experience with ImageRight and at least three comparable engagements. They must also comply with security standards including conducting criminal background checks on employees accessing TDI systems. Proposals must include a Voluntary Product Accessibility Template (VPAT) if applicable.
