Background The Department of Veterans Affairs (VA) is seeking to procure scanning services for medical records at the Portland VA Medical Center (VAMC). The goal of this contract is to ensure accurate indexing of medical and administrative active record files into VistA Imaging, an electronic medical records system. This is crucial for maintaining the integrity of the medical records and supporting the VA's mission to provide high-quality healthcare to veterans. Work Details The contractor will perform the following tasks: 1. Scan, import, and index newly generated and backlogged clinical documentation for inclusion into the electronic health record (EHR), specifically VistA Imaging. 2. Ensure accurate attachment of indexed images to the appropriate electronic health record. 3. Complete 2,000 units per month, with each unit containing 1-30 scanned pages. 4. Conduct quality assurance checks on scanned documents to maintain high standards of accuracy and integrity. 5. Adhere to all VA established security policies during the scanning process. Period of Performance Base period from July 1, 2026, to June 30, 2027, with four optional one-year extensions available. Place of Performance Portland VA Medical Center, located at 3710 Southwest US Veterans Hospital Road, Portland, OR 97239; services may also be performed off-site as approved by the contractor. Bidder Requirements Bidders must be certified as a Service Disabled Veteran Owned Small Business (SDVOSB). They are required to submit a completed and signed SF1449 form, a completed quote on the Price/Cost Schedule, a Certificate of Compliance for Services and Construction, company contact information, qualification documents per evaluation criteria, and SDVOSB certification from the SBA website.
