Collateral Fulfillment and Storage Services

Background

Clackamas County is seeking proposals for Collateral Fulfillment and Storage Services to support its Office of Tourism, which promotes tourism opportunities in Clackamas County, Oregon. The mission is to enhance the quality of life for residents by optimizing the economic impacts of tourism derived from the County’s Transient Room Tax. The services are aimed at providing accurate information to prospective visitors, managing inventory efficiently, and responding to customer inquiries promptly.

Work Details

The Contractor will provide comprehensive fulfillment services including: processing and mailing collateral and printed materials, storing printed inventory, maintaining customer lead data, and providing monthly reporting. Specific tasks include: - Processing data and mailing print pieces. - Managing postage and supporting printing needs. - Storing collateral with a capacity for 10-12 pallets. - Performing USPS address verification and presorting mail according to USPS requirements. - Providing monthly reports detailing total requests fulfilled, inventory levels, email opt-ins, undeliverable addresses, and more. The Contractor will also manage all domestic and international postage required for fulfillment activities while ensuring compliance with USPS regulations.

Period of Performance

The contract term will be from the effective date through June 30, 2031.

Place of Performance

Services will be performed in Clackamas County, Oregon.

Bidder Requirements

Proposers must comply with Oregon Tax Laws and non-discrimination policies. They should have experience in similar fulfillment services within the past five years, including at least one public-sector client. Proposers must also provide proof of insurance coverage including Professional Liability of $1 million per occurrence and Commercial General Liability of $1 million per occurrence.
