Background

The City of Olathe is seeking proposals from qualified vendors to provide full-service vending machine operations at the Community Center. The goal of this contract is to furnish, stock, maintain, and operate vending machines that offer high-quality food and beverage options for patrons, staff, and visitors. The selected vendor will support a welcoming, community-focused, and health-conscious environment while ensuring reliable machine operation, responsive customer service, and transparent financial reporting.

Work Details

The vendor shall provide and install at least two (2) vending machines, with a maximum of four (4) machines. The equipment must be commercial-grade and include: one (1) snack vending machine and one (1) beverage vending machine. Machines must be stocked with approved food and beverage items and perform regular maintenance, cleaning, servicing, customer service including refund processing, financial reporting with sales transparency, and adapt offerings based on community programming. Machines must meet ADA accessibility requirements and accept cash, credit/debit cards, and mobile payments. The vendor must also provide a mix of beverages including Coca-Cola products and health-conscious options such as protein drinks/shakes and low-sugar beverages. Food offerings should include snacks suitable for youth and families with an emphasis on health-conscious choices like granola bars and nuts. The vendor is required to conduct quarterly product reviews to refresh offerings based on seasonal demand.

Period of Performance

The initial contract term is one (1) year with a pilot period of approximately sixty (60) to ninety (90) days subject to performance review.

Place of Performance

The services will be performed at the Community Center located in Olathe, Kansas.

Bidder Requirements

Vendors must comply with all applicable health and food safety regulations, ensure ADA accessibility compliance, provide proof of liability insurance meeting City requirements, and may not subcontract without prior written approval from the City.
