DNR Maryland Water Monitoring Council 2026 Annual Conference

Background

The Maryland Department of Natural Resources (DNR) is issuing this solicitation for the purpose of procuring venue, conference support, and catering services for the Maryland Water Monitoring Council's 2026 Annual Conference. The conference is scheduled to take place on November 19, 2026, and aims to bring together stakeholders involved in water monitoring efforts in Maryland.

Work Details

The contractor will provide a venue that includes: - An auditorium with a podium seating approximately 500 people or an auditorium with simulcast viewing options. - Five breakout rooms each with a minimum capacity of 100 persons. - Areas for breaks, registration (including four tables and four chairs), vendors (20 tables with chairs), and poster displays (easels provided by DNR). - Sufficient free parking for up to 500 attendees. The facility must offer complimentary WiFi, A/V equipment for presentations in all session rooms, and technical assistance during the conference. Catering services will include: - Continental breakfast - Morning snacks - Lunch - Afternoon snacks - Beverages (coffee/tea) throughout the event. Menus must be approved by the State Project Manager and should include non-dairy and vegetarian options. Specific catering times are:

Continental Breakfast

8:00 AM – 9:00 AM

Morning Break

10:30 AM – 11:00 AM - Lunch: 12:00 PM – 1:30 PM

Afternoon Break

3:00 PM – 3:30 PM.

Period of Performance

The contract performance period is set for November 19, 2026, with all work to be completed on that day.

Place of Performance

The venue must be located within the Baltimore Metro area, which includes Baltimore City, Baltimore County, northern Anne Arundel County, eastern Howard County, and southern Harford County.

Bidder Requirements

Bidders must be registered with the Maryland Department of Assessments and Taxation and in good standing at the time of bid submission. They must maintain commercial general liability insurance of $1 million per occurrence and $2 million annual aggregate as well as worker's compensation insurance as required by law. Bidders are responsible for obtaining any necessary permits related to the scope of work.
