Syracuse City is seeking qualified vendors for a VoIP/Unified Communications System Replacement to modernize its existing on-premises Mitel telephone system. The goal of this RFP is to select a vendor for the system design and implementation, ensuring the proposed solution supports operational workflows across multiple City facilities while providing scalability, reliability, redundancy, survivability, and modern communication features.
The selected vendor shall provide a complete turnkey solution including: - System design - Implementation services - SIP trunk services - Phone hardware - Configuration and migration - Training - Ongoing support and maintenance. The proposed solution must support existing operational workflows across seven City locations: City Hall, Community Center, Police Department, Fire Station 31, Fire Station 32, Public Works, and Parks Maintenance. It should also include features such as multi-level auto attendants, workgroups, hunt groups, call queues, voicemail-to-email functionality, unified messaging, and eFax capabilities. Additionally, the vendor must ensure compliance with E911 regulations and provide detailed training for both end-users and administrators.
The contract is anticipated to have an initial term of five (5) years with optional renewal periods.
The contract will be performed across multiple locations in Syracuse City including City Hall, Community Center, Police Department, Fire Stations 31 & 32, Public Works, and Parks Maintenance.
Vendors must provide proof of general liability insurance, cyber liability insurance, and workers compensation coverage. They should also demonstrate municipal or government references and relevant experience in the Utah public sector. Proposals must include detailed pricing for hardware, licensing, SIP trunking services, installation and configuration costs as well as ongoing support pricing.
