Audio/Visual Service Support

Background

The Atlanta Regional Commission (ARC) is a governmental organization that serves as a regional convener, addressing important issues facing metro Atlanta. The agency is seeking proposals for audio-visual production services for its State of the Region event, which gathers approximately 1,500 civic, business, elected, and nonprofit leaders. The event aims to provide an overview of the region's progress and foster collaboration among community leaders. It will take place on November 4, 2026, at the Georgia World Congress Center in Atlanta, GA.

Work Details

The contractor will provide comprehensive audio-visual production services for the main stage of the event. This includes: - Support for three primary speakers and visual presentations. - An awards ceremony and various pre-recorded videos. - Potential live musical performances (not yet confirmed). Technical requirements include: - Professional sound system capable of producing 100dB audio throughout the ballroom. - Eight wireless headsets for ARC staff and twelve clear com system headsets. - Video design with at least two 16:9 format outboard screens and a center screen (potentially an LED wall). - Lighting solutions including stage wash, accent lighting, uplighting, and animated lighting. - Rigging costs capped at $15,000 paid separately to On Services. The contractor must also manage rehearsals on November 3, including technical and full talent rehearsals.

Period of Performance

The contract period begins immediately upon selection in June 2026 and concludes with all post-event work completed by December 1, 2026.

Bidder Requirements

Eligible companies must have at least three years in business and key staff with a minimum of five years of experience in similar projects. Proposals must include Certificates of Insurance and compliance with Title VI of the Civil Rights Act of 1964. Additionally, bidders must complete Debarment and E-Verify forms.
