Asset Management and Computerized Maintenance Management System

Background

The City of Spokane, through its Information Technology Department, is initiating a Request for Proposals (RFP) to solicit proposals from firms interested in providing an Enterprise Asset Management (EAM) and Computerized Maintenance Management System (CMMS). The goal is to implement a secure, supported, and sustainable solution to manage assets, work orders, inspections, inventory, and related operational data across multiple departments. This system aims to improve cross-department collaboration, support role-based access and auditability, and provide consolidated reporting. The selected system should also integrate with existing city systems and facilitate mobile field operations.

Work Details

The selected firm will provide a complete EAM/CMMS solution that includes: - Software licensing - System deployment - Configuration - Implementation services - Support for asset management - Work order management - Preventative and predictive maintenance - GIS integration - Migration of existing data without loss of integrity - Testing and validation - Initial training for various city staff - Post-implementation support - Ongoing technical assistance. The firm must describe its approach to implementation, data migration, system configuration, integration support, training, go-live assistance, and ongoing customer support.

Period of Performance

The contract will be for a period of five (5) years with the possibility of renewal upon mutual agreement.

Place of Performance

The services will be performed in Spokane, Washington.

Bidder Requirements

Firms must have at least 5 years of experience in EAM/CMMS systems and must be licensed to do business in the State of Washington. Proposals must include a Letter of Submittal signed by an authorized representative of the firm.
