Agenda and Minutes Software

Background

Salt Lake City Corporation is seeking competitive sealed proposals from qualified offerors to provide agenda and minutes software for various city departments, including the Salt Lake City Department of Airports and the Community Reinvestment Agency. The goal of this RFP is to select an offeror to enter into a contract for a system that meets the city's needs for managing agendas and minutes effectively.

Work Details

The selected contractor will provide a cloud-based Software as a Service (SaaS) solution for agenda and minutes management. The system must meet functional and technical requirements outlined in Attachment 2 of the RFP, which includes capabilities for creating, managing, and distributing agendas and minutes. Offerors must demonstrate successful experience with at least three similar implementations. The proposal must include a completed cost proposal form (Attachment 3) detailing all costs associated with the services, including materials, supervision, labor, insurance, transportation, delivery, and any other related costs. The contractor will also be responsible for providing ongoing support and maintenance as specified in the RFP.

Period of Performance

The contract will be awarded for an initial term of five (5) years from the date of execution.

Place of Performance

Services will be performed city-wide, including locations such as the Salt Lake City Department of Airports and other city departments.

Bidder Requirements

Offerors must be registered with the State of Utah and comply with all applicable laws. They must provide proof of insurance coverage as specified in the RFP. Offerors are required to certify that their proposed system is cloud-based and hosted in the United States. Additionally, they must not have any outstanding debts or obligations to Salt Lake City Corporation.
