Cloud Smartsheet Platform

Background

The Oregon Department of Transportation (ODOT) is issuing this Request for Quotes (RFQ) for a Cloud Smartsheet Platform to enhance collaboration, workflow automation, and project tracking. The goal is to continue utilizing the Smartsheet platform, which has proven beneficial in reducing manual data handling and improving efficiency across various divisions within ODOT. This contract aims to provide a Software as a Service (SaaS) solution that includes necessary licenses, training, maintenance, and support.

Work Details

The contract requires the provision of the Cloud Smartsheet Platform as a SaaS solution under the Enterprise Plan Legacy Collaborator Model. Key components include: - Access for a minimum of 75 Licensed Users with the ability to add more on-demand. - Provision of 150 Data Shuttle Workflows with additional workflows available at a set price per 50 workflows. - Provision of 210 Dynamic Views Configurations/Views with additional views available at a set price per 30 views. - Documentation for effective setup and usage. - Access to Smartsheet University’s eLearning for all users. - 24/7 global support including phone, email, and live chat. - Pro Desk guided coaching sessions for practical advice and best practices.

Period of Performance

The contract will be performed over a period of one year due to licensing structure changes affecting multi-year agreements.

Place of Performance

The services will be performed remotely as it is a cloud-based solution; however, it will primarily serve the Oregon Department of Transportation's operations.

Bidder Requirements

Offerors must be current Price Agreement holders for the DAS Cloud Solutions Price Agreement Series to submit a quote. Additionally, Offerors must ensure they can meet the contract execution date by June 15, 2026.
