Year-Round Reservation of Hotel Rooms

Background

The University of Iowa, located in Iowa City, Iowa, seeks proposals from qualified suppliers to provide year-round hotel room reservations for families of inpatients at the University of Iowa Hospitals & Clinics and Bone Marrow Transplant patients. The University is recognized for its academic achievement and leadership in research, with a comprehensive health system that includes multiple medical centers and outpatient clinics. The goal of this contract is to ensure that families of patients have access to comfortable accommodations during their hospital stays.

Work Details

The supplier will be responsible for reserving twenty (20) hotel rooms throughout the year as part of the Rossi Guest House Lodging Program. Of these, ten (10) rooms will be prioritized for families of adult inpatients and ten (10) for families of pediatric inpatients. Families will pay the hotel directly at the contracted rate, while the University may cover costs for unoccupied rooms or a portion of costs for families during their stay. Additionally, four (4) reserved rooms specifically for Bone Marrow Transplant patients are required, with similar payment arrangements. The supplier must also provide options for flex rooms if all reserved rooms are occupied. The contract should include details on daily rates, billing arrangements, and any blackout dates when rooms may not be available.

Period of Performance

The intended term of the contract is one (1) year with the possibility of four (4) additional one-year extensions based on mutual agreement.

Place of Performance

The services will be performed at hotels located in proximity to the University of Iowa Hospitals & Clinics in Iowa City, Iowa.

Bidder Requirements

Suppliers must be licensed to do business in the State of Iowa and comply with all applicable laws. They are required to provide audited financial statements from the previous two years and must agree to a Business Associate Agreement if handling Protected Health Information (PHI). Insurance requirements include general liability, automobile liability, workers' compensation, and professional liability coverage.
