Background

The Department of Administration, Division of Capital Asset Management and Maintenance (DCAMM) is issuing this Request for Quotation (RFQ) to seek quotes from vendors for the replacement of the chiller at the Shepard Building. The project aims to enhance the building's HVAC system efficiency and reliability.

Work Details

The contract involves replacing the existing chiller at the Shepard Building. Key components include: 1. Base Bid for chiller replacement; 2. Allowance #1 for unforeseen conditions related to hazardous material removal and disposal ($22,000); 3. Allowance #2 for architectural modifications ($22,000); 4. Allowance #3 for mechanical and piping modifications ($22,000); 5. Allowance #4 for electrical modifications ($22,000). Liquidated damages are set at $250 per day for delays beyond substantial completion.

Period of Performance

The work is scheduled to commence on July 15, 2026, with substantial completion expected by October 15, 2026, and final completion by October 30, 2026.

The work will be performed at the Shepard Building located at 80 Washington St, Providence, RI 02903.

Bidder Requirements

Bidders must have a valid certificate of registration issued by the Rhode Island Contractors’ Registration Board throughout the contract term. A bid surety bond or certified check of five percent (5%) of the vendor's cost proposal is required with bid submissions. Additionally, vendors must comply with insurance requirements including liability coverage of $1 million per occurrence and workers' compensation insurance.
