Headquarters (HQ) Air University (AU) requires a contractor to provide a commercial off-the-shelf (COTS) Student Management System designed to manage the complete student lifecycle from applications for admission through program completion, including transcript services. Work Details The contractor will be responsible for delivering a Student Management System that includes the following functionalities: - **Admissions**: Manage interactions with current and prospective students; support bulk list imports for admissions and enrollments; facilitate student credit transfers; automatically notify students of admission results; provide comprehensive student profile information; offer updates and verification; issue automatic instructions for next steps post-admission; assign and validate unique Air University Identification (AUID); identify additional admission process requirements as needed. - **Enrollment**: Provide a list of applicable course offerings based on rules-based criteria; allow bulk roster admissions into AU and course registrations; implement rules-based assignment criteria for course allocations; hold requests qualifying for automatic registration for final review; automate class roster creation with approved registered students; update student profiles with registered courses; notify students of registration results and next steps. - **Graduation & Program Completion**: Enable students to apply for graduation or program completion requests; verify program completion through academic evaluations; automatically update transcripts based on approved records while sending unapproved records for staff review; notify students of their graduation/completion status. - **Transcript Management**: Update student transcripts from Learning Management Systems (LMS); allow AU Registrar to manage grades and statuses; certify transcripts upon request and send notifications; provide unofficial transcripts upon authorized request. - **Program Advising**: Facilitate automated requests for advising by students and referrals by instructors; automate notifications regarding advising referrals; assign academic advisors automatically when necessary and enable appointment scheduling.
