The Maryland Department of Health, specifically the State Anatomy Board, is seeking to procure a Telephone Answering Service to support its operations related to the Body Donation Program and management of unclaimed decedent bodies. The Board plays a crucial role in administering these sensitive activities, receiving approximately 3,800 decedent bodies annually from various sources including hospitals and families. The goal of this contract is to ensure a 24-hour communication network that can efficiently handle time-sensitive calls related to death notifications and transport services.
The contractor will provide professional telephone answering services that include: 1. Efficiently responding to telephonic reports of deaths of pre-registered donors and unclaimed decedent bodies, notifying designated mortuary transport services for timely removal. 2. Immediate response to emergency communications and timely replies regarding program activities when the Board's office is closed. 3. Coverage from 4:00 p.m. to 8:00 a.m., Monday through Friday, and 24 hours on weekends and holidays. 4. Collecting detailed information from callers reporting deaths, including decedent's name, address, date of birth, time of death, status (Donor or Unclaimed), cause of death, known infectious conditions, location details, next of kin information, and any obstacles for transport access. 5. Transmitting recorded death information via fax and email to the Board by 8:05 a.m. the following day.
The contract will commence on July 1st, 2026, and will continue until June 30th, 2029.
Services will be performed in Maryland across five designated areas: Baltimore Metro, Southern Maryland, Western Maryland, Lower Eastern Shore, and Upper Eastern Shore.
Bidders must demonstrate experience by providing three references in their submission. The contract will be awarded based on the most favorable bid price that meets all requirements outlined in the solicitation.
