Texas Conference for Employers

Background

The Texas Workforce Commission (TWC) is seeking to arrange the Texas Conference for Employers, a series of employer seminars held annually across Texas. The conference aims to educate employers on state and federal employment laws and the unemployment claims process. TWC's Office of the Commissioner Representing Employers sponsors this initiative, which involves organizing events that provide valuable insights and guidance to Texas employers. The contract will cover logistics for multiple conferences scheduled in various locations throughout 2027.

Work Details

The contractor will be responsible for providing hotel accommodations, meeting space, and food and beverage services for the following conferences: 1. A two-day hybrid conference in Houston in July 2027 with a capacity of 600-800 attendees. 2. One-day conferences in San Antonio and Horseshoe Bay in February 2027, each with a capacity of 350-600 attendees. 3. A one-day conference in Arlington in April 2027 with a capacity of 350-600 attendees. Specific requirements include: - Meeting space must be carpeted, free from obstructions, and equipped with necessary AV support. - Guestrooms must be available at or below the prevailing Government Per Diem rate. - Catering services must include coffee service, lunch options, and breaks as detailed in the solicitation.

Period of Performance

The contract period will cover events scheduled throughout 2027, specifically from January to July.

Place of Performance

Conferences will take place in San Antonio, Horseshoe Bay, Arlington, and Houston, Texas.

Bidder Requirements

Respondents must demonstrate experience in providing conference services for similar events over the past five years. They must also comply with financial soundness requirements as outlined in Form 5 - Financial Questionnaire. Additionally, respondents are required to be registered in the Texas franchise tax system prior to contract award.
