Shredding/Document Destruction for Deer's Head Hospital Center

Background

The State of Maryland, through the Maryland Department of Health (MDH), is issuing this Invitation for Bids (IFB) to procure on-site shredding services for Deer’s Head Hospital Center (DHHC) located in Salisbury, Maryland. The contract aims to ensure the secure destruction of confidential documents in compliance with federal and state laws, as well as industry standards. The anticipated duration of the contract is five years with a total budget not to exceed $50,000.

Work Details

The contractor will provide the following services: 1. On-site shredding services for confidential documents; 2. Installation of lockable security consoles (approximately 36"H x 19"W x 17"D) in designated office areas; 3. Provision of heavy-duty wheeled security bins (64-65 gallon capacity) equipped with reinforced hinges and locking mechanisms; 4. Bulk shredding services for large-scale document disposal; 5. Monthly scheduled pickups of shredding materials; 6. Certificates of destruction (COD) provided after each shredding event, detailing the location, date, number of containers, pounds shredded, and signatures from both contractor personnel and authorized DHHC representatives.

Period of Performance

The contract will be performed over a period of five years with no option periods.

Place of Performance

All services will be performed at Deer’s Head Hospital Center, located at 351 Deer’s Head Hospital Road, Salisbury, MD 21801.

Bidder Requirements

Bidders must be licensed to operate shredding services in Maryland and provide proof of business registration. They should have a minimum of three years' experience in providing similar services and submit three references from past clients. Additionally, bidders are encouraged to hold certifications such as NAID AAA or ISO 27001 to demonstrate adherence to industry standards.
