Background The Department of Veterans Affairs (VA), specifically the Veterans Benefits Administration, is seeking to procure document destruction services for its Providence Regional Office located at 380 Westminster Street, Providence, RI 02903. The goal of this contract is to ensure the secure and confidential destruction of sensitive paper documents in compliance with VA Directive 6371, which outlines the proper handling and disposal of temporary records containing Personally Identifiable Information (PII) and Protected Health Information (PHI). The contractor will be responsible for providing all necessary labor, equipment, and supervision to perform these services. Work Details The contractor shall provide on-site shredding services every four weeks for the destruction of temporary records. This includes: 1. Providing up to two (2) secure 95-gallon bins for collecting materials to be shredded. 2. Conducting scheduled shredding services every four weeks and unscheduled services as needed during record purges. 3. Ensuring that all shredding occurs at the Providence VA Regional Office under the supervision of a VA employee. 4. Safeguarding materials until final destruction and ensuring that shredded materials are disposed of in accordance with applicable regulations. 5. Providing a written Certificate of Destruction after each service, detailing what was destroyed, the date, method used, and responsible parties. 6. Maintaining quality control programs to ensure compliance with mandated specifications and safeguarding confidentiality throughout the process. Period of Performance The base period of performance is 12 months from the date of award, with four optional one-year extensions available.
