Background Oakland University, established in 1957 and located in Rochester, MI, is a state-supported institution recognized as a doctoral research university. This Request for Proposal (RFP) seeks qualified vendors to supply event rental services for university events, ensuring reliable and cost-effective solutions. Work Details The selected Preferred Vendor will supply and deliver various rental items for university events, including: - Tables: Various sizes and shapes (round, rectangular, cocktail). - Chairs: Folding, banquet, padded, and specialty chairs. - Tents: Multiple sizes with options for sidewalls, lighting, and climate control. - Linens: Tablecloths, napkins, skirting in various colors and sizes. - Staging: Modular platforms, stairs, skirting, safety railings. - Additional items may include photobooths, floral and event décor rentals, movie screens, inflatables or games, and karaoke machines. Delivery & Pickup requirements include on-site delivery at designated locations with setup and breakdown as needed. All rental items must be clean and well-maintained. Period of Performance The contract will have an initial term of three (3) years with the possibility of two (2) one-year renewal options, totaling a maximum of five (5) years. Place of Performance Services will be performed at Oakland University locations in Rochester, Michigan. Bidder Requirements Vendors must provide a signed copy of the RFP indicating agreement to all terms. They must demonstrate relevant experience in event rentals and provide references from three organizations served in the past five years. Insurance requirements include: - General liability coverage of $1 million per occurrence and $2 million aggregate. - Auto liability of $1 million. - Workers' compensation at statutory limits. - Excess liability coverage of $5 million per occurrence.
