Background The Ralph H. Johnson VA Medical Center (RHJVAMC) is seeking a third-party protocoling and scheduling software for its Radiology department located at 109 Bee Street, Charleston, SC 29401. The goal of this contract is to streamline and improve the efficiency of completing orders, ensuring that documented results are easily accessible by Radiology staff from multiple locations. Currently, the process involves manual printing and hand-carrying of orders, which is prone to human error and delays. The implementation of robust software aims to reduce patient wait times, decrease errors, enable tracking, and optimize clinical communication. Work Details The contract requires the provision of protocoling and scheduling software that meets the following specifications: - Compliance with various VA software approvals including Technical Reference Model (TRM), Enterprise Risk Analysis (ERA), Federal Information Processing Standards (FIPS) Compliance, Federal Risk and Authorization Management Program (FedRamp), Business Associate Agreement (BAA), Memorandum of Understanding/Interconnection Security Agreement (MOU/ISA). - Responsibilities include providing all necessary tools, interfaces, software, licenses, delivery, installation, warranty, and training. - The contractor must ensure documentation for remote maintenance access is submitted. - Initial training on the software must be provided by the vendor. - Response times must be within 24 hours for routine issues and 1 hour for critical issues with 24/7 support available. - The software should allow digitalization of the protocoling and scheduling process with visibility into order statuses. - Customizable letter templates for appointment letters are preferred but not mandatory. - Centralized viewing options for protocols and appointments with personnel assignment capabilities are required. - Ability to differentiate orders based on urgency and visibility of patient demographics on orders is essential. - Reporting metrics on all orders and scheduling must be included along with interfacing capabilities with VistA/CPRS applications.
