Background The West Virginia Office of Shared Administration (WV OSA) is seeking bids to establish an open-ended service contract for Ice Machines Preventative and Corrective Maintenance. This contract is partially funded by federal funds, and all bidders must acknowledge adherence to the Federal Funds Addendum. The goal of this contract is to ensure the proper functioning and maintenance of ice machines across various facilities. Work Details The vendor will provide both Preventive Maintenance and Corrective Maintenance services for ice machines as defined in the solicitation. Preventive Maintenance includes activities such as: - Inspection of electrical components - Cleaning and sanitization of internal surfaces - Replacement of water filters - Inspection and cleaning of condenser coils - Checking thermostat settings - Testing ice production functionality - Inspecting drain lines This maintenance will occur twice yearly on a mutually agreed schedule. Corrective Maintenance will be performed as needed to restore machines to working order, with a response time of 48 hours for calls from the agency. The vendor is responsible for procuring all necessary parts, which must be new and equal to or better than original manufacturer parts. All tools and expendable materials required for maintenance will be provided at no cost to the agency. Period of Performance The contract will be ongoing with no specified end date, allowing for continuous maintenance as needed. Place of Performance Maintenance services will be performed at various facilities listed in Exhibit B, including: - Office of Shared Administration in Charleston, WV (three Scotsman HID525A-1A machines) - Diamond Building in Charleston, WV (two Scotsman HID525A-1A machines) Bidder Requirements Vendors must have experience maintaining similar ice machine equipment within the last five years. They must also have trained personnel with valid West Virginia Division of Labor HVAC Technician Licenses/Certifications and EPA Certifications. The vendor must be authorized by the manufacturer to perform repair work on the specified equipment.
