Background Hays County, Texas is seeking a qualified firm to provide comprehensive heating, ventilation, and air conditioning (HVAC) preventative maintenance and repair services for various buildings throughout the county. The goal of this contract is to ensure safe and well-maintained HVAC systems through a total preventative maintenance program that includes inspection, maintenance, repair, programming, and other necessary tasks. Work Details The contractor will be responsible for providing certified staff proficient in the maintenance and repair of various HVAC units including make-up-air units, ventilation fans, air handlers, compressors, and more. Services include: - Complete maintenance, service, repair, and/or replacement of HVAC systems. - Inspections and testing of equipment as per OEM specifications. - Routine repairs to be completed within one working day from request. - All labor and materials required for repairs including refrigerants and lubricants. - Preventative maintenance services to be performed twice to four times per year including filter replacements and cleaning of condensate drain lines. - Emergency response services with specific response times based on the urgency of the situation. - Documentation of all services performed along with any findings or materials replaced. Period of Performance The initial contract term is from March 2026 to March 2027 with four optional one-year renewal terms. Place of Performance Services will be performed at various buildings throughout Hays County, Texas. Bidder Requirements Contractors must have at least five years of HVAC experience and provide references from similar projects. They must be fully licensed to perform HVAC work in Texas and comply with all applicable laws and regulations. Additionally, they must demonstrate financial responsibility and not be debarred or suspended from federal contracts.
