PURPOSE: To establish an Indefinite Quantity Agreement for Golf Car Rental Services on an as needed basis. The estimated dollar amount to be spent on this agreement is up to and not to exceed $50,000.00. This is an estimate of the annual needs of the City under this Agreement and are for bidding purposes only. This estimate is not to be construed as representing an actual order for that amount, or a guarantee that any minimum amount will actually be purchased. Subsequent to the acceptance of an offer, individual written purchase orders may be issued as needed by the City to purchase items listed herein during the term of the agreement. At no time shall the obligation of the City agency exceed the dollar amount of any associated purchase order. The Agreement will expire on 3/31/2027. Any available funds not obligated by the City by means of a Purchase Order on or prior to that date shall be cancelled after that date. BIDDING INSTRUCTIONS: - Please see attachment for lines to bid on. For each line please provide the unit cost as requested. These additional line items will be made available to the City at the pricing submitted through Indefinite Quantity Agreement expiration date. Bidder must add any additional charges and fees not covered in the lines. Any charges not specifically listed here will not be approved for payment, should a purchase order be awarded. Work Details The contractor will provide gas-powered golf carts for use at sports facilities during the outdoor sports seasons, which run from March through early November. The estimated number of carts required per month is as follows: - March: 8 carts - April-May: 15 carts - June-August: 17 carts - September-November: 15 carts. The main sites for delivery and pickup include Lou Berliner Sports Park and Spindler Sports Park. The rental agreement includes the following line items: - 4-passenger golf cart (gas) with top - utility golf cart (gas) with top - 6-passenger golf cart (gas) with top - cart delivery/pickup fee - fuel charge per gallon for returned unfilled carts - other miscellaneous charges. Period of Performance The contract will be effective until March 31, 2027. Rentals will occur during the outdoor sports seasons from March through early November each year. Place of Performance The services will be performed at various locations within the City of Columbus, specifically Lou Berliner Sports Park located at 1300 Deckenbach Rd, Columbus, OH 43223, and Spindler Sports Park located at 2121 Spindler Rd, Hilliard, OH 43026. Bidder Requirements Bidders must provide a Bureau of Workers Compensation Certificate and a Certificate of Insurance with the City of Columbus listed as additionally insured. Subcontracting is allowed only if the subcontractor agrees to all conditions in writing and provides necessary insurance certificates. Preference will be given to agencies located in the City of Columbus or the State of Ohio when other considerations are equal.
